Charter Frequently Asked Questions

Our reputation has been built on working with our client to make sure we are meeting their transportation and tour needs. Our staffs years of experience allows us to be flexible in making sure your needs are met while providing you unmatched service. We want to make it as easy as possible to work with us.

1. Is a deposit required to reserve equipment?
We do not require a deposit to reserve a motorcoach. Final payment is due two weeks prior to the departure date. There is a $100 deposit to reserve the Trolley and final payment is due 30 days prior to the event.

2. When is final payment due?
The final payment is due 2 weeks before the trip departure date. If booking with less than 2 weeks before the trip date, then the full amount is due when booking via cash or credit card.

3. How can I pay for the charter?
We accept checks provided we receive them at least one week prior to the trip date. We also accept MasterCard, Visa, Discover, or American Express. We only accept cash payments in person at our Madison or Milwaukee Wisconsin offices.

4. When would I contact the Charter Department and when would I contact the Tour & Travel Department?
You contact the Charter Department if you only needed a motorcoach or trolley. The Tour & Travel Department can assist you and your group with trip planning, a tour, an event and a variety of travel needs

5. When should I reserve my bus?
It is never too soon to reserve a bus. Many of our clients reserve equipment more then a year in advance. We have busy times during the holidays and weekends. It is best to start planning early.

6. What happens if I have to cancel my charter? Would I get my money back?

One Day Charters:

  • Full refund prior to 2 weeks from departure date.
  • If you cancel within 2 weeks of your departure you will lose $100.  

Extended Charters:

  • Full refund up to 2 weeks from departure date
  • Full Payment due 2 weeks from departure date.
  • If you cancel within 2 weeks of your departure you will lose 25% of your payment.

7. Who pays for the driver's hotel room?
Generally the group is responsible for providing the drivers room.

8. Where can I arrange pick-ups for my bus?
A pick up point can be determined by the group. Some streets are narrow, so please take that into consideration when planning your pick-up location. When selecting a parking lot, please call the manager of the establishment and get parking permission from them.

9. Is it to our advantage to clearly spell out our schedule?
Yes, double check your dates, you should provide a detailed itinerary to avoid extra mileage costs and confusion.

10. Can you drive out of state?
YES! We are licensed to drive anywhere in the United States and Canada.

11. Are alcoholic beverages allowed on the bus?
We allow alcoholic beverages on or coaches. We ask our groups to be respectful of our drivers and equipment. We allow plastic and aluminum cans of beer, but we do not allow glass bottles or kegs of any kind.

12. Will you "bar hop"?
No we do not. No exceptions will be made to this policy.

13. Can we smoke on our bus?
No, all of our busses are non-smoking.

14. Are your busses wheelchair accessible?
Yes. There is no extra cost to accommodate this request we must remove seats so your bus capacity will need to be adjusted.  We can accommodate up to 2 wheelchairs per bus and need to have at least a 48-hour notice.

15. Can we decorate the busses?
Yes, we allow the busses to be decorated. We ask that no adhesive be used due to paint damage. We can provide suggestions as to what decorations have worked nicely in the past.
